Your information, once transferred to the TaxDome portal, is protected by their security measures, which typically include data encryption, and we maintain an agreement with them that governs the use and protection of your data.
Data Retention
We retain your personal information for three (3) years after the completion of your tax filing or bookkeeping services. This is to comply with IRS regulations regarding audits and potential amendments.

Sharing with Service Providers
We engage certain trusted third-party service providers to perform functions and provide services to us. We will share your personal information with these third parties, but only to the extent necessary to perform these services.
Client Portal and File Sharing
To manage client onboarding, communications, file sharing, and secure document exchange, we use a dedicated client portal platform. We transfer the information you provide in our online forms (such as your name, contact details, and other necessary information) to this platform to set up your account and provide our services.
Our current client portal and practice management provider is TaxDome.
The information shared with TaxDome is used solely for the purpose of providing tax and accounting services, securing client documents, facilitating communication, and managing our professional relationship. TaxDome is required to maintain the confidentiality and security of your information.

The personal information transferred to TaxDome may include:
- Contact Data: Your full name, email address, phone number, and mailing address.
- Account Data: Information necessary to create and maintain your client portal account (e.g., username).
- Professional Data: Information related to the services you are requesting (e.g., type of service, business name, taxpayer ID, etc.).
Client Rights
You have the right to access, correct, and delete your personal information at any time. You can exercise these rights by logging in to your secure client portal at portal.pinedabookkeeping.com.
Cookies and Tracking
We use cookies to maintain the functionality and performance of our website. We also use Google Analytics to track website traffic sources, browser and device information, and pages visited on our website. This information helps us improve our website and services.
SMS/Text Messaging Program
Text Messaging Data & Non-Disclosure
We will not share, sell, rent, or trade text messaging originator opt-in data and personal information with any third parties or affiliates for marketing or promotional purposes.
This exclusion specifically applies to your mobile phone number, text message content, and opt-in consent status for our text message program.
We may share information with service providers, such as third-party platform providers or phone carriers, only for the purpose of facilitating and delivering the text messages you have consented to receive. These service providers are contractually obligated to keep your information secure and confidential.
Text Message Opt-Out & Support
You can stop receiving text messages from us at any time by replying STOP, END, CANCEL, UNSUBSCRIBE, or QUIT to any of the messages you receive. After you send the text message “STOP” to us, we will send you one final text message to confirm that you have been unsubscribed. After this, you will no longer receive text messages from that particular shortcode or longcode, unless you explicitly re-enroll.
